Candidate Data

We need to process certain information about you in order to provide you with the best possible employment opportunities that are tailored to you.

We only request information that will genuinely assist us in assisting you, such as your name, contact information, education details, employment history, emergency contacts, immigration status, financial information (where financial background checks are required), and social security number (and of course you may choose to share other relevant information with us).

We may also collect information about your health, diversity information, or details of any criminal convictions where appropriate and in accordance with local laws and requirements.

Website Users

We collect a limited amount of data from our Website Users, which we use to help us improve your website experience and manage the services we provide. This includes information such as how you use our website, how frequently you access it, and when our website is most popular.

When you send us your CV, you can expect us to contact you about your job search and any potential suitable vacancies. You may not be successful in your initial application, but by using the information you provided, we can notify you of any future vacancies that may be suitable for you.

We will always have an initial phone conversation with you to fully understand your previous career experience and what you are looking for. We also tell you what you can expect from us and how we will use your data. We will arrange face-to-face meetings, but if this is not possible, we will use Skype, Facetime, or other video conference platforms to complete them.

There are two main ways in which we collect your personal data:

Referees And Emergency Contacts

We only collect your contact information when a Candidate or a member of our Staff names you as their emergency contact or when a Candidate gives it to us so that you can serve as a referee.

How Do We Use Your Personal Information?

Candidate data is typically used in 3 ways:

1) Recruiting

  • Collecting your data from you and other sources, such as LinkedIn;
  • Storing your information (and updating it as needed) on our database so that we can contact you about recruitment;
  • Comparing data about you to vacancies that we believe are a good fit for you;
  • Allowing you to submit your CV, or receive alerts about jobs that we believe may be of interest to you;
  • Fulfilling our obligations arising from any contracts entered into between us, such as as a Temporary Worker;
  • Fulfilling our obligations arising from any contracts entered into between KPAX Marketing and third parties in relation to your recruitment;
  • Facilitating our payroll and invoicing processes;
  • Conducting customer satisfaction surveys;
  • Verifying the information you've provided by using third-party resources (such as psychometric evaluations or skills tests), or requesting information (such as references, qualifications, and potentially any criminal convictions, to the extent that this is appropriate and in accordance with Cyprus and Malta laws);

  • Processing your data to send you targeted, relevant marketing materials or other communications we believe will be of interest to you.

2) Marketing Actions

We may send you information that we believe you will find interesting on a regular basis. We may use your data for the following purposes in particular, where appropriate and in accordance with laws and requirements.

Allow us to develop and market additional products and services;

  • Promote our full range of recruitment services to you (permanent, temporary, contract, outplacement, MSP programs, and RPO services);

  • In the case of Candidates and prospective Members of Staff' referees: third parties we have retained to provide services such as reference, qualification, and criminal convictions checks, to the extent that these checks are appropriate and in accordance with local laws.
  • If KPAX Marketing merges with or is acquired by another business or company in the future, we may share your personal information with the (potential) new owners of the business or company.

How Long Do We Keep Your Information?

If we have not had meaningful contact with you for (48) months as a candidate, we will delete your personal data from our systems unless we believe in good faith that the law or another regulation requires us to keep it (for example, because of our obligations to the Social Insurance and Tax Authorities or in connection with any anticipated litigation).

For Candidates whose services are provided by a third-party company or other entity, "meaningful contact" with you refers to meaningful contact with the company or entity that provides your services. If we are notified by such a company or entity that it no longer has that relationship with you, we will retain your data for no more than 2 years from that point or, if later, for 2 years from the point we have meaningful contact with you directly.

"Meaningful Contact” means communication (verbal or written) or actively engaging with our online services.

Your Rights

You have the following Data Subject Rights:

  • The right to be informed. Transparency in how we are using personal data. Hence, this detailed Privacy Policy.
  • The right of access. This enables you to e.g. receive a copy of the personal data we hold about you.
